Every screen
This chapter is the reference: every screen of the Workspace, what it is for, and its controls by the labels you will see. The other chapters explain the ideas; this one says what is where. Where a label carries a name or a count, three dots stand in for it, so All … notes means the row that reads, say, All 6 notes. The pieces many screens share, such as Back and the confirmation dialogs, are in the reference at the end.
Home
Home is the first screen after you sign in and where every Back eventually returns. It has two tabs: Workplace, for what the whole workplace shares, and Rooms, for the room you are looking at. The ideas are in Getting started.
Home
The overview of your workplace and the room you are viewing; each section names itself. If it cannot load: Your workspace could not be read, with Try again.
- Workplace / Rooms: the two tabs, once you belong to a workplace. Rooms carries a dot when another room needs you.
- The workplace name with a chevron (Switch workplace): opens the Workplace menu. With no workplace it is a + (Create workplace).
- Your picture (Your account): opens the Account menu.
Workplace menu and Account menu
The first lists your workplaces, badged Admin or Being deleted; tapping one switches. Then Invite to this workplace (admins), Workplace settings and, if your account may create one, New workplace. The second has your name, People and Settings.
The Workplace tab
From top to bottom, what the whole workplace shares.
- Agent activity: how many agents are working now, and how many there are.
- A Mail row once you have an address: the address, or how many new messages wait. Opens Mail.
- Join requests: admins only, while someone is waiting. Decline or Approve on each.
- The Workspace agent card: face, model and effort, a state line and its Last reply; tapping opens its chat. A field, Ask about your workplace…, with dictation (Talk to Workspace Agent).
- The Workplace briefing: a bulleted summary of recent work. Refresh writes a new one; Model & effort opens its picker.
- The subscription strip, one tile per subscription, with Add sub.
- Drive, one row. Repositories, with the storage used and Clone on your computer. Knowledge, up to six pages and All … pages. Sites, once one exists, each badged not built yet, setting up, paused or stopped, and site or app; the footer names the shared domain every site sits under.
The Rooms tab
Room chips at the top, then Agents, Notes and Secrets tabs for the room you chose.
- Room chips: one per room, marked when its room needs you. Manage rooms opens Rooms; with none, Create your first room; when older work has no room, Name existing work.
- Unread messages: one row per agent with a reply you have not read; opens its chat.
- Waiting for your decision: the proposals you can decide; each opens the proposal.
- The Agents panel: one card per agent with its face (ringed to show how full its memory is), model and effort, machine size, a status line (Ready, Session limit, Setting up — a minute or two and so on) and its recap. Tapping opens its chat, or its page (or Your seats) when it cannot chat yet. A … background jobs pill, and New agent (or Create a room first). Below, Teammates’ agents.
- The Notes panel: up to six rows (swipe right to reveal Archive), All … notes, an Archive row, and Write a note.
- The Secrets panel: the room’s keys, or one … secrets row from six up. Add a secret is for admins.
New agent
A dialog, not a page, from New agent or a Create agent tile. It asks what the agent should run: Claude Code (Runs on your Claude subscription) or Codex (Runs on your ChatGPT subscription). With no matching subscription you go to Your seats first. Without a cloud it reads Connect Fly to create your first agent: an admin sees the connection form; a member is told an admin has to connect it first.
Agents
An agent has one page, with three pickers that open over it. What an agent is, and how model, effort and machine size matter, is in Agents.
An agent of yours
The facts, settings, updates and deletion for one of your own agents. If it is gone: That agent is not here.
- Two header buttons: model and effort, opening How … thinks; machine size, opening …’s machine.
- Open chat, when it can chat, under its recap and Last reply.
- The facts card: Status, Driven by, Room (opens Move …), Subscription, Machine, Working on, Turns, Worked, Thinks with and Its site. At a session limit, Resume tells the agent to carry on.
- The version card: Update … for the agent’s own software, and Update machine software, which asks first (running apps stop for a minute; files are kept). Ask agent to reset chat. While the agent is busy these unlock when it finishes.
- Proposals, with Show all … proposals.
- Delete this agent: type the name, then Delete. Its machine and everything on it are erased for good, and its chat stops answering.
A teammate’s agent
An agent that is not yours opens read-only; only its owner can message it or change how it runs. Rows: State, Latest work, Room, Driven by, Last active, Made.
Background jobs
The long jobs an agent has started: each with its command, Running for, Started and Job ID. Recently finished keeps how each ended for a day. Empty: No background jobs are running.
How … thinks
The model and effort picker. Model and Effort are rows; the one in use is badged current. Changes begin on the next turn. A turn already running finishes with the settings it started with.
Move …
The room picker: one row per room, with the faces in it; tapping moves the agent. Its machine and chat stay put, and the move lands at the agent’s next turn.
…’s machine
The size picker. A machine costs processor and memory only while awake; its files are kept whatever size it runs at.
- Processor, Storage (Its home. A size change never touches it.), Runs in, Right now.
- Dedicated cores and Shared cores: two ladders, badged current. On an awake machine a pick asks Restart …’s machine?, confirmed with Change size.
Chat
Every agent has a conversation, and so does the Workspace Agent. Turns, what a message can carry and what the notices mean are in Talking to agents.
Agent chat
Headed by the agent’s name, a link to its page. Only you can open your own agent’s chat. Not found: That conversation is not here.
- Back, the model and effort button, and a … background jobs pill.
- The transcript, under day dividers. A notice card carries a label (Change proposal, Knowledge proposal, Fresh chat, Turn, CI secrets, Site, Delete request, Machine) and a link such as Review and decide.
- The live row: what the agent is doing, with Stop. Newest message jumps to the bottom.
- Your agents, a stack of faces when you have others; Attach files; the Message box, dictation and Send. A dictated message is reviewed before Send message.
- Empty: Nothing here yet — say hello.
Email approval card
A card in the chat headed … wants to send this message, showing From, To, Cc, Subject, Files and the words, with Send email and Don’t send.
Workspace Agent chat
Headed Workspace Agent, a link to its details; every member has a private conversation of their own, with the same composer and controls as an agent chat. Empty: Nothing here yet — ask about recent work, keep a note, or send one of your agents a request.
Workspace Agent details
Your own agent across the whole workplace. Go to chat; Its room; State, Last request, Machine (built the first time you message it) and Reach; the version card and Ask agent to reset chat, as on an agent’s page.
Hand it to an agent
A section on a note, a knowledge page and a proposal (there, Ask for review). Tapping an agent’s card opens a form with a pre-filled Message and Send; it confirms with … is on it — the answer lands in its chat.
People
The list of everyone in the workplace, and one person. Roles and what an admin can do are in Workplace and people.
People
Everyone in the workplace, from the Account menu or Workplace settings. Each row: face, name, Admin or Member with their agent count, a status such as Here now, their recap and their agents’ faces.
One person
- Seen, Latest, Agents (each opens the agent), Agents worked, Joined and who invited them. Email opens Mail with a new message to them.
- Make admin / Make member: admins only, never for the last admin; confirmed with Make an admin or Change to a member.
- Remove from workplace: admins only, not yourself, not the last admin. It warns that their agents here are permanently retired while their private sign-ins stay theirs; confirm with Remove.
Workplace
The screens for the workplace itself, its invitations and its rooms. The ideas are in Workplace and people.
Workplace settings
Headed by the workplace name, with how many people it has and your role.
- People. Join requests, each with Decline and Approve.
- The invite link, for admins: a field with Copy and a revoke button that asks first; Create invite link when there is none. A workplace has one link, and you approve everyone who asks to join.
- Cloud account: the Fly organization, how many machines are active and asleep, and See cloud details (admins).
- Code, with a Grow storage to … GB button for admins (it shows the monthly cost), confirmed with Grow storage. Backups: Your code, Chats, notes and proposals, Backup vault and Disk snapshots, badged failed or overdue when they are.
- Leave …, unless you are the only member; the last admin is told to promote someone first. Rename this workplace and Delete this workplace for admins.
Rename workplace
One field, Workplace name, and Save name.
Delete workplace
Admins only. It says when it happens, then What goes and What stays: accounts, and the machines in your Fly account, which keep costing money until you remove them there. Delete workplace asks you to type the name. While a deletion is pending, a lock screen headed … is being deleted covers every workplace screen, with Keep this workplace.
Invite to this workplace
Admins only; others read Only an admin can invite people. It makes a link if there is none and shows it with Copy, revoke, and All … invite links.
Join a workplace
What an invite link opens: Request to join, then Waiting for approval, which you can come back to through the same link, then Open workplace or Request again. A Joining as card has Switch.
Switch workplace
One row per workplace; the current one opens Workplace settings, the others switch. The New workplace form has one field, Workplace name, and Create workplace; once its cloud and a subscription are connected, it opens with two rooms and six agents.
Rooms
Tap a room to open it. Press and hold a room, then drag it to reorder. One row per room with its faces; Name existing work when needed; New room.
A room
Rows What’s inside, Opened, You are; buttons Go to this room, Rename this room and Delete this room, which asks you to type the name. Repositories are never deleted with a room.
New room
One form, also titled Create your first room, Name your existing work or Rename …: a Room name field and Create room or Save name.
Notes
Notes belong to a room and are shared with it at once. What a note is for, and how its states move, is in Notes, knowledge and Drive.
Notes
- Search notes, from six notes up, archived ones included. Filter chips All, Unclaimed, Handed over, Working, Proposed, Merged, Live.
- Rows, swiped right to archive, badged Handed to … or with a proposal number. Write a note, and an Archive row that opens the archive.
Archive
The notes put away, with its own search. Empty: Nothing in your archive.
One note
Headed by the note’s title and its room, with a byline: its number, its work state, who wrote it and when it changed.
- The body; Attach a file and Copy note. Taking a file off asks Take … off this note?
- Hand it to an agent, and Comments with Write a comment; your own comment can be edited (Save, Cancel) or deleted, after asking.
- Edit note on notes you wrote; Move note to another room; Archive note. On an archived note, Restore note and Delete for good, which asks first. A hint says who may change it.
Write a note / Edit note
A jotting your agents can read too. One Note field, Attach a file (up to five, 10 MB each), and Save or Save changes.
Knowledge
Pages written by agents and reviewed by you. See Knowledge pages.
Knowledge
Every page, grouped by the room it came from (Workplace for none), with Filter by name, words or room from seven pages up. No match: No page matches “…”. Empty: Build shared memory.
Knowledge page
The title, its description, the body (pictures open full screen), then Hand it to an agent and Comments. People read; only an agent changes a page, through a proposal.
Knowledge proposal
Headed by the proposal’s title, with which agent proposed it and when. Only the owner of that agent can decide; anyone else reads Only the owner of the agent that proposed this page can approve or reject it.
- Open chat, and the agent’s note with Read more.
- One card per page, labeled New knowledge, Update, Renaming or Removing, with the differences and Read the page, a preview as it will look.
- Ask for review, Comments, then Approve & publish and Reject. If the page moved on since, the button reads A page changed — cannot apply.
Repositories
A repository has a screen with two tabs, plus pages for its files, history, contributors and commits; a change proposal is its own screen. The ideas are in Repositories and proposals.
Repositories, on Home
There is no separate list; the section on Home is it. Rows are badged delete asked, CI access asked or with a count of proposals. Clone on your computer expands to the git clone command and its sign-in (username x-access-token, password your key), with Create key & copy or New key & copy, and Revoke.
One repository
Everyone in the workplace, and every agent in every room, can see, clone and push it.
- Overview: Proposals, Actions (the check runs) and contributors. At the bottom, the decisions: a request to let a saved key ride the checks, with Allow for approved CI or Keep private; a delete request with Keep it; Delete this repository, which asks you to type the name; an agent can restore it for fourteen days. Admins decide, or the owner of the agent that asked.
- Content: the folder crumb, the branch, the latest commit (a link to History), a Files tree and the README. Empty: This repository has no commits yet. Once an agent pushes, its files show up here.
Repository file, History, Contributors, Commit
A file has View raw / View formatted and Copy; an image says Clone the repository to open it. History lists commits; Contributors lists name, commits and lines changed; a commit shows its files, checks and differences.
Change proposal
Headed by the title, with the repository and any linked note, and a status pill: Waiting for you, Still being prepared, Merged, Rejected, Went stale or Conflicts with …. Only the owner of the proposing agent can decide.
- The summary card: … files changed opens the differences; Actions expands to the checks.
- The proposal’s words, the notes it came from, its files, then After approval: Merged into …, Checks on …, Delivery.
- Ask for review, Comments, and the decision: Approve & merge, or Approve anyway when checks failed, or a disabled Actions must pass first; and Reject. Afterwards: Merged into … or Rejected — tell … what to change.
Checks have no screen of their own: they are the Actions row on a proposal and the Actions section on a repository.
Sites
A site has one screen; the list is on Home, and there is no domains screen. Preview addresses, production and domains are in Sites and domains.
Site
Headed by the site’s name: A site, live., An app, running. or a state such as Paused. Its files are kept.
- The live address, which opens it; its kind; who deployed it and when.
- Delete this site: admins, or the owner of an agent that asked; type the name to confirm, and the address stays yours. With a request pending, Keep it.
- Gone: This site is not on this account any more.
Drive
One file library for the workplace, open to every member. See Drive.
Drive, a folder, and Trash
Files shared with your workplace. Trash: Items stay here until restored or deleted forever.
- Upload files (or drop them on the page), New folder, Manage folder, Trash (…).
- Search all files and folders or Search Trash, with Search and Clear. Each row has a Manage … menu.
- Empty: This folder is empty. Upload files or create a folder to get started. The footer gives what is stored, Trash included, and Files up to 50 MB.
Drive file
Download and Manage file, then a preview: text, images, PDFs, video and audio in place. A type with no safe preview shows a message ending Download it to open it.
New folder / Manage
Folder name and Create folder. Managing an item: Name with Save name, Move to folder (step with Up one folder, then Move here) and Move to Trash. In Trash: Restore, and Delete forever for those permitted, which asks you to type the name.
Secrets
The keys a room’s agents use. Who sees what, and how an agent uses a key, are in Secrets.
Secrets
- Each row: name, what it is for (or No description yet), and whose agents it reaches. Search secrets from six up.
- Add a secret for admins; Add a secret for one of your agents for a member with an agent in the room. Empty: Connect tools safely for an admin, No shared secrets yet for a member.
One secret
A shared key is managed by admins, a private one by its owner (Only … can use this one). Rows What it’s for (Edit or Add), Whose agents get it (Admins only / Open to everyone), Value (kind, length, a masked preview) and Last changed; then Copy the value, Replace the value and Delete this secret, which asks once.
Add a secret
Name (for example GH_TOKEN) and Value; Whose agents get it: Admins’ agents only or Every agent in this room; for a member with several agents, Which of your agents. The button reads Save for this room, Save for …, or Replace the value of … when the name exists.
Subscriptions and cloud
Your subscriptions are private to you; the cloud belongs to the workplace and its admins. What runs where, and what you pay to whom, is in Your cloud and subscriptions.
Your seats
Your private sign-ins assigned to this workplace; nobody else sees this screen. Each row: label, plan, a status pill (Ready, Resting, Needs sign-in, Off or Subscription needs attention) and usage. Sign in a subscription starts a new one; Your other sign-ins offers Use here, Open provider settings or Delete. Empty: Your agents need a subscription.
Subscription
One seat, and its usage: there is no usage page of its own. Rows Status, Plan, This workplace, Added; a recovery card when something is wrong: Open Claude billing and Check again for a paused subscription, or Retry sign in; Usage, each window’s share used and when it resets; then Make primary here, Earlier fallback, Later fallback, Unassign from this workplace and Remove subscription everywhere.
Sign in a subscription
Pick Claude or Codex. Claude: Open the Claude sign-in, approve there, paste the code it gives you, Finish sign-in. ChatGPT: Copy code, Open the ChatGPT sign-in, enter it and approve, Finish sign-in. If it fails: Start again.
Cloud
Admins only, from See cloud details: what the month has cost so far and how many machines run and sleep. Replace this cloud opens the connection form; New agents sets the size every new agent is built at; Machines lists each with its cost, and a leftover one has Remove.
Connecting Fly
The same form in Workplace settings, first-time setup and the new agent flow: create a Fly organization and an org deploy token, then paste it into Org deploy token. It is checked with Fly before saving, stored encrypted and never shared in agent chats; Token help walks you through it. A token for a different Fly organization asks Keep … or Move to ….
Signing in
The pages you see signed out, and the setup gate a new workplace passes through. The walk-through is in Getting started.
Sign in
Any Workspace address while signed out: Your Workspace, anywhere. with Email (your name, the domain shown after it), Password, Forgot your password? and Sign in. An invite link opened signed out is headed Join your team’s Workspace. with a banner, Your invite link is ready, and the switch between Create an account and Already have an account? Sign in.
Create your account
Create your Workspace. First name, Last name, Your email address (checked as you type), Password, Confirm password, Create account. Then Check your email., with Send again and Change email address.
Passwords and confirmation links
Reset your password. asks for your Email, with Send the link; without a recovery email a password cannot be recovered. Its link opens Choose a new password., with Change password. An email confirmation link opens a page with Continue to Workspace or Request another link.
Extra security check
At sign-in when an authenticator is on: Authenticator code and Sign in, with Use a recovery code (which swaps the field for Recovery code) and Start sign-in again.
First-time setup
A new workplace opens through three steps. Connect your Fly cloud: an admin sees the connection form with Continue; a member reads A workplace admin needs to connect Fly before this Workspace can open. Then Sign in a subscription, then Your team is arriving with Continue. Switch workplace is offered when you have others.
Mail is yours, across every workplace. Conversations, replies and blocking are in Email.
Headed Mail, with your address. Write email; Search mail, whose results appear in the same list; one row per conversation; links to Sent, Archive, Spam and Trash. Empty: Nothing has arrived yet. Mail sent to … lands here.
Sent, Archive, Spam and Trash
Four lists shaped like the inbox, each with its own search and an empty state that explains it: Spam holds what nothing vouched for or what a blocked sender wrote; Trash never deletes anything for good.
A conversation
- Move buttons: Archive, Mark as spam, Move to Trash; or, from those places, Move to inbox, Not spam, Restore, Restore from Trash.
- On each letter: Forward, Block … or Unblock …, Load pictures (the sender may learn you opened this), Always load pictures from …, Show quoted text, and its files.
- Reply to … opens Your reply, with Add Cc, Reply to all, Cancel and Send reply. Forwarding asks for To and Your words, then Send forward.
New message
From your address: To, Cc (after Add Cc), Subject, Message, Attach files, Send message.
Your address, in Settings
Without an address: Choose your address, a field that checks whether the name is free, and Take this address. With one: the address, and When mail arrives, wake with Change, offering Nobody or one of your agents.
Settings
One screen for your profile and your sign-in, opened from the Account menu. The security choices are explained in Getting started.
Settings
- Name: Edit or Add, then First name, Last name, Save name. Picture: Choose a picture, Choose a different picture, Remove the picture. Your address, as under Mail.
- Sessions opens Browser sessions: Revoke on each, Sign out everywhere else, Sign out every browser. Password: Change. Recovery email: Add or Change, then Send the confirmation link; and Remove the recovery email.
- Authenticator security: Enable shows a code to scan (or a key with Copy key), asks for the Current code, then Enable extra security and shows recovery codes to keep, confirmed with I saved them. Disable asks with Turn off extra security.
- This browser: Sign out.
Reference
- Page header and Back
- Every screen but Home and sign-up has Back (the chats draw their own header). It returns to the screen you came from, or to its natural parent: a chat goes to its agent, everything else to Home.
- Yes/no dialog
- A title, a line of explanation, Cancel, and a button carrying the verb: Delete, Remove, Update, Revoke, Leave. Nothing happens until you press the verb.
- Type-the-name dialog
- For what cannot be undone: deleting an agent, a room, a workplace, a repository, a site, or a file forever. A few lines on what goes, and a field, Type the name to confirm; the verb button stays off until what you typed matches exactly.
- Choice dialog
- A title, a line, one button per option and Cancel. The new agent flow is one; so is the question a token for a different Fly organization raises.
- Dictation
- A microphone button (Dictate) beside most text fields, for up to 90 seconds. The words then appear on a review sheet whose commit button matches the screen, such as Send message, so nothing is sent unread.
- Toasts
- A one-line confirmation or error shown after an action: “Published.”, “Rejected — the agent has been told.”, “… is on it — the answer lands in its chat.”
- Nothing at this address
- Any Workspace address that does not exist: This is not a Workspace address we know. The Overview is the honest place to start., with Back to Overview.
- Email confirmation strip
- Shown along the top while your account’s email is unconfirmed: Confirm your email with Send link, which becomes Link requested.
